2. What this policy covers

This policy applies to prodatamedia.com.

It does not cover data we process on behalf of clients as part of a marketing engagement. In that work the client decides what is collected and why, and the terms are set in the agreement between us. It also does not cover advertising platforms and third party sites you may reach from here, which run their own policies.

3. What this website collects

Information you send us

If you use the contact form, we receive what you type into it: your name, company, work email address, website, the improvement area you select, an optional service and industry selection, and your message. Only name, work email, the improvement selection and the message are required. Please do not include sensitive personal information or confidential client data in the message.

Technical information

Like any website, this one is delivered by a hosting service that records standard access information such as IP address, request time, page requested, referring page, and browser user agent. That record is created by the hosting infrastructure, not by code on the page.

What this website does not do

• It runs no analytics service and no advertising or conversion pixels
• It sets no cookies of its own
• It does not profile visitors, and it does not build audiences from site visits
• It has no social media embeds, chat widgets or session recording

4. How the contact form delivers

The form is built to work in one of two ways, depending on configuration.

• Mail client. If a contact address is configured, submitting the form opens your own email application with the message prepared. Nothing is transmitted to us until you send it yourself, and your email provider handles delivery.
• Form endpoint. If a form handling service is configured, the contents are sent to that service, which passes them to us. That provider processes the data on our behalf.

The mail client route is the one in use. Submitting the form prepares a message to [email protected] in your own email application, and nothing reaches us until you send it. No form handling service is involved, so no third party processes what you type.

5. Why we use it, and on what basis

We use what you send to read and answer your enquiry, and to hold a record of the exchange if it leads to a commercial discussion.

We rely on our legitimate interest in responding to business enquiries and running our business. Where you have asked us to contact you, that request is itself the reason we do so. We do not use enquiry data for unrelated marketing, we do not add it to a mailing list, and we do not sell or trade it.

6. Who else is involved

Personal data connected with this website may be handled by:

• The hosting provider, which serves the pages and keeps standard access logs
• No font, analytics, advertising or content provider. The typeface is served from this site rather than from Google Fonts, and there is no analytics tool, no advertising pixel and no embedded widget. Loading a page therefore involves no company other than the host of this site
• A form handling provider, if and when one is configured
• Professional advisers or authorities, where we are required to disclose something by law

7. International transfers

We are registered in the Republic of the Marshall Islands and work with clients internationally. Data connected with this website may therefore be handled outside the country you are in, including by service providers located elsewhere.

8. How long it is kept

Enquiry correspondence is kept for as long as needed to deal with the enquiry and any relationship that follows it, and then for a reasonable period afterwards for record keeping. Enquiries that do not lead anywhere are deleted once they are clearly no longer relevant.

Hosting access logs are kept for the period set by the hosting provider.

9. Your rights

Depending on where you live, you may have the right to ask us to give you a copy of the personal data we hold about you, to correct it, to delete it, to restrict or object to how we use it, to receive it in a portable format, or to complain to a data protection authority.
